Frequently asked questions

Everything you need to know about PBXWarehouse, our phone systems, and how it all works.

Phone numbers

What types of phone numbers do you offer? +
We offer UK geographic numbers (01/02), national 0333 numbers, and 0800 freephone numbers. All are virtual — they don't require a physical landline and can be routed to your mobile, VoIP device, or call queue. Browse our options on the phone numbers page.
Do I need a physical landline? +
No. All our numbers are virtual. Calls can be forwarded to your existing mobile phone, a SIP desk phone, a softphone app, or any combination. No BT line required.
Can I choose my own number? +
Yes. When you order, you can browse available numbers within your chosen area code and pick the one you want. Some memorable or gold numbers may carry a premium.
Can I have numbers in multiple area codes? +
Absolutely. Many of our customers have local numbers in several regions to give a local presence in each area they operate. There's no limit to how many numbers you can have on your account.
Can I keep my existing number? +
Yes. We support porting for UK geographic, 0333, and 0800 numbers. The process takes 5–15 working days depending on the number type. See our number porting page for details.

VoIP & phone systems

What is VoIP? +
VoIP (Voice over Internet Protocol) means making phone calls over your internet connection instead of a traditional phone line. It gives you all the features of a business phone system — extensions, call queues, voicemail, transfers — without any copper wiring or on-site equipment.
Do I need any special equipment? +
Not necessarily. Our virtual numbers can forward calls to your existing mobile. If you want a full VoIP setup with desk phones, you'll need SIP handsets and a reliable internet connection. We also support softphone apps that turn your computer or smartphone into a business phone.
What internet speed do I need? +
Each concurrent call uses about 100kbps of bandwidth. For a small office with 5 simultaneous calls, you'd need at least 1Mbps upload. Most modern broadband connections handle this easily.
Can I make and receive calls on my mobile? +
Yes. You can forward calls to your mobile, or use a VoIP softphone app to make and receive calls using your business number directly on your phone.
What desk phones do you recommend? +
We recommend Yealink and Grandstream handsets. They offer great value and are fully tested with our platform. See our hardware page for specific models and pricing.

Features

What features are included? +
Every account includes: call forwarding, voicemail with email alerts, working hours routing, call statistics, ring groups, caller ID control, and an online control panel. See our full features list.
Can I set up a "Press 1 for Sales" menu? +
Yes — that's an IVR (Interactive Voice Response) menu. Submit a request describing your menu structure and our team will configure it for you, typically within 1 working day.
Can I record a custom greeting? +
Yes. You can type your greeting text, choose a voice (male or female, UK or US), and our system generates the audio instantly using text-to-speech. You can also upload your own recorded audio.
Can I set different rules for outside business hours? +
Yes. You can configure working hours for each number and extension. Outside hours, calls can go to voicemail, forward to a different number, or play a custom message.
How many extensions can I have? +
There's no hard limit. Add as many extensions as you need — each one costs £5/month. Every extension gets its own voicemail, caller ID settings, and forwarding rules.

Billing & pricing

How much does it cost? +
Phone numbers start at £2.50/month. Extensions are £5/month. There are no setup fees on any product. See our pricing page for the full breakdown.
Are there long contracts? +
No. Everything runs on a 1-month rolling basis. Cancel anytime with 30 days' notice. No exit fees, no penalties.
Is there a setup fee? +
No. Every product has zero setup cost. You pay only the monthly price shown.
What payment methods do you accept? +
All major credit and debit cards via Stripe. Your card details are never stored on our servers — Stripe handles everything securely.
What happens if my payment fails? +
We'll notify you by email and retry the payment. If it remains unpaid for 14 days, your service may be suspended. Pay the outstanding balance and it's reactivated immediately.

Number porting

How long does porting take? +
Geographic numbers (01/02) and 0333 numbers typically take 5–10 working days. 0800 freephone numbers can take 7–15 working days. Timescales depend on the losing provider.
Will there be any downtime during the port? +
We aim for zero downtime. The switch usually happens within seconds. In rare cases there may be a brief interruption of a few minutes.
Do I need to cancel with my current provider first? +
No — do not cancel your existing service before the port completes. Cancelling early could cause you to lose the number. The porting process handles the transfer automatically.
Can I port out to another provider later? +
Yes. You own the right to use your number and can port it away from us at any time. We won't charge an exit fee.

Account & support

Can I manage everything myself? +
Yes. Your online dashboard lets you buy numbers, create extensions, configure call queues, set up voicemail, record greetings, and manage billing — all without calling us. Our support team is there if you want help, but you're never dependent on them.
Do you offer support? +
Yes. Our UK-based support team is available Monday–Friday, 9am–5:30pm. Contact us via email, phone, or the contact form. We aim to respond within 2 hours during business hours.
Is two-factor authentication available? +
Yes. We strongly recommend enabling 2FA on your account. It supports standard authenticator apps (Google Authenticator, Authy, etc.) and includes backup recovery codes.
What if I need to make a complaint? +
We have a published complaints procedure. If we can't resolve your complaint, you can escalate to the Communications Ombudsman.
